Billing rules, discounts, and fair use

What counts as an active worker?: Active workers are employees and contractors who had time or labor cost processed in Allocent during the billing month — counted once, not everyone on your roster.
Do verified nonprofits receive a discount?: Verified nonprofits receive 20% off Core, Intelligence, and Scale subscriptions. During Allocent’s launch period, that nonprofit discount may be combined with annual billing. Custom nonprofit pricing is case-by-case.
How do seasonal spikes affect my plan?: Each plan includes a 10% seasonal buffer for a single month above the published allowance. Two consecutive billing months above the published allowance require an upgrade to the appropriate tier (or Custom).
What happens if we exceed the allowance by more than 10%?: A month more than 10% above your published allowance starts a customer conversation — not a surprise automatic charge.
Are Ask Allocent or MCP usage billed per question?: Intelligence and above include generous Ask Allocent and MCP fair use. Allocent does not apply automatic per-question AI overage charges. If usage materially exceeds fair-use safeguards, our team will contact you to discuss options — not apply surprise automatic charges.
Which timezone is used for billing months?: Billing months are calculated in UTC until organization-specific billing timezones are available.
Is there a separate onboarding fee?: Allocent does not charge a separate onboarding fee. Getting-started resources do not guarantee founder access, live sessions, custom implementation, or professional services.
Can AI publish journals automatically?: No. Assistants may prepare or request actions within authorized boundaries, but publishing and other financial commitments remain human Confirm & Publish steps inside Allocent.
