Why Allocent

Less payroll bookkeeping. More clarity on labor costs.

Payroll being processed does not mean the bookkeeping is finished. Someone still has to split the costs and prepare the journal.

Allocation means splitting payroll costs across the projects, departments, programs, or grants where people worked. Allocent keeps that setup and repeats the same review each pay period. You still check the result before anything reaches the books.

This is an illustration, not a recommended policy. The $2,000 is wages only. Allocent can also split other eligible employer costs in the payroll report, such as overtime, employer taxes, and employer benefits. Net pay, employee taxes, and employee deductions are never allocated.

Who it is for

The same review, for two kinds of labor cost

Approved hours set the split. If you do not track time, save a percentage for each person instead. Saved percentages stay until you change them.

Small businesses

When people work across jobs, one payroll report still has to become project or department entries.

  • Assign payroll costs to the projects you set up. Name a project for a job, department, program, or grant.
  • See how labor cost is distributed, without calculating profit for a project.
  • Keep your payroll provider. Upload a completed CSV or Excel report. Justworks wide reports are recognized. For other files, confirm any columns Allocent asks about before import.

Nonprofits

When one person supports more than one program, the payroll total still has to be divided.

  • Split one person’s costs across projects that stand for programs, grants, and administrative work.
  • Review how each employee’s costs were distributed before the journal is prepared.
  • Use the accounts your organization approved. QuickBooks classes are included only on a plan that connects QuickBooks Online, and only when class tracking is already on there.

Allocent does not decide grant eligibility, regulatory compliance, or whether an auditor will accept an entry.

Each payroll, upload the report, review the split, then review the journal. Downloading a file or confirming publishing is a separate step.

Why it is worth paying for

Review, accounting, and a published price

Review before anything is sent

Allocation Review shows each person’s split. Allocent asks for a decision when a payroll name is unmatched, a person has no allocation choice, or a required account is still missing.

The journal preview has to balance: debits equal credits. Reviewing does not publish. A journal CSV is a file you download after the required accounts are approved. Confirm & Publish is a separate step, and only when that plan includes QuickBooks Online.

Accounting connection

Every published plan includes a journal CSV. Allocent prepares that file only after your organization approves an account for each kind of journal line, such as project labor, administrative labor, or employer payroll taxes. Choosing not to use QuickBooks does not create the file.

Connecting QuickBooks Online, and Confirm & Publish, are included on Intelligence and above. A person confirms before Allocent sends the journal.
